About Ordanta
What is Ordanta?
Ordanta is an Australian-built operations management platform for businesses that run crews, plant and projects. It brings timesheets, rostering, leave, plant and equipment, procurement, supplier invoicing, workforce records, safety, compliance, quoting, invoicing and reporting into one system, and every module shares the same people, projects and plant.
Who is Ordanta for?
Any business whose work happens in the field with crews and equipment, and whose office has to turn that work into pay, invoices and compliance records. That includes civil and construction contractors, mining and resources services, plant and equipment hire, labour hire, and maintenance and engineering services, but Ordanta is not limited to those industries. Field workers log hours and fill in forms on their phones, supervisors approve, and the office runs payroll, procurement and reporting from the same records.
Do we have to use every module?
No. Modules are switched on per organisation, so you can start with the workflows that hurt most and add more as you grow. A module that is switched off is switched off at the API as well as in the menu. Because every module shares the same records, adding the next one is a setting, not a migration.
In the field
Does Ordanta work on phones?
Yes. Ordanta installs to the home screen of an iPhone or Android phone without an app store and has a field-first layout. Crews sign timesheets, fill in prestarts and log incidents where the work happens.
How do timesheets get approved?
Rostered shifts generate draft timesheets. Workers sign them with a digital signature or photo, and supervisors approve or reject by line or by sheet. A timesheet is approved by someone other than the worker who signed it, and approved hours flow into pay runs and client invoices without being typed again.
Can Ordanta track tickets, licences and competencies?
Yes. Each worker’s qualifications, licences, inductions, internal training and medicals sit in one competency matrix, with expiry flagged well before it becomes a site-access problem. Certificates are stored against the worker’s record and can be exported in a click.
Can we manage plant and equipment in Ordanta?
Yes. The asset register holds registration, make, model, serial number, current project, hours and kilometres, and works out service-due and registration status automatically. Maintenance, work orders, parts and stores, and life-cycle costing for each machine are available as modules.
Procurement and finance
How do purchase order approvals work?
A purchase order needs a requester, an approver and an authoriser, and they must be different people. You can require a minimum number of quotes before a purchase order proceeds, and receipting is capped so nothing is over-received.
Can Ordanta read supplier invoices?
Yes. Upload a supplier’s invoice as a PDF or photo, and Ordanta reads it with built-in OCR, matches it to the right purchase order and supplier, and flags quantity and price differences line by line.
Does Ordanta connect to Xero?
Yes. Xero is connected through its standard authorisation flow from within Ordanta, so we never need your Xero login. Coded supplier invoices are pushed to Xero as draft bills. You approve the connection in Xero and can disconnect it there at any time.
Safety and compliance
What safety and compliance features does Ordanta include?
Incidents and near misses with corrective actions tracked to close-out, a form builder for prestarts, inspections and toolbox talks, and a compliance register that maps ISO and other standards to recurring requirements and the evidence behind each one. Evidence packs export in one step.
Security and access
How is our data secured?
Two-factor authentication is mandatory for supervisor, administrator and finance-tier accounts. Access is granted per module and per role, integration credentials are encrypted at rest, and changes to timesheets, leave, purchase orders and compliance records carry an audit trail. Can our clients see how their projects are going?
Yes, through the client portal. Your clients log in separately and see only the projects you grant them, section by section. The portal is read-only.
Can we run more than one company in Ordanta?
Yes. A holding company with several trading entities can run them as a company group. Each organisation is kept separate unless a group administrator grants cross-company access to a named person.

How long does it take to set up Ordanta?
Setting up your organisation in Ordanta takes about an hour. Full integration takes 48 hours from when we receive all the data to be transferred in.
